Summary

We are seeking a highly organized and proactive Executive Assistant & Department Assistant to provide comprehensive administrative and operational support to the Head of Strategy and the Strategy Department. The ideal candidate will have excellent communication skills in both Japanese and English, a strong sense of discretion, and the ability to manage multiple priorities in a fast-paced, global environment.

 

Essential Duties

  • Coordinate departmental schedules and reserve meeting rooms
  • Provide general administrative support to the Strategy Department, including document preparation, numerical data management, meeting arrangements, filing, and data entry
    Handle phone calls, emails, and visitor reception
  • Assist with travel and event arrangements
  • Support visitors from the parent and subsidiary companies
  • Perform general administrative and clerical duties
  • Provide interpretation (consecutive or whispering) for in-person and online meetings
  • Translate various documents between Japanese and English​​​​​​​
  • Manage the Head of Strategy’s schedule, including domestic/international travel arrangements, meeting coordination, and home leave planning
  • Serve as a primary liaison and coordination point with key internal and external stakeholders
  • Prepare meeting materials, presentations, and reports
  • Handle confidential information with the utmost discretion
  • Take meeting minutes and follow up on action items
  • Act as a representative or proxy for the Head of Strategy when required

Qualifications

  • English proficiency at a business level or higher
  • Self-motivated with a strong desire to learn and grow
  • Excellent teamwork and communication skills

  • Proficient PC skills

  • Prior experience in a financial institution is a plus

Compensation

  • Base Salary: $70,000 - $90,000
  • FLSA Status: Exempt
  • Bonus Type: Year-end Discretionary
